Dining chairs are counted off the tables, not the guest list. A 60-inch round seats 8. A 72-inch round seats 10. A 6ft banquet seats 6 to 8 and an 8ft banquet seats 8 to 10. Multiply by your table count and add a handful of spares for vendors and late additions. Leave about two feet of clearance behind each chair so servers can pass while guests are seated, and measure the aisle between table edges rather than the table footprint.

Barstools have to match the surface they sit at, and this is where orders go wrong. Counter-height stools use a seat around 24 to 26 inches and pair with a 36-inch counter. Bar-height stools use a seat around 29 to 30 inches and pair with a 42-inch bar. Order the wrong height and guests either perch too high or cannot get their knees under. Accent chairs are not small dining chairs. They sit lower and deeper, they are meant for lingering rather than eating, and they are ordered by the seating grouping rather than one per guest. Plan one grouping per 20 to 25 guests, around 10ft by 10ft, seating 6 to 8 with a sofa or loveseat, two accent chairs and a coffee table.

For ceremonies, most events use lighter seating that a crew can place in rows and strike inside a short window, then a heavier chair at the reception tables. Running one chair through both is cheaper and simpler when the ceremony and reception share a room and you are flipping the space. When they are separate rooms, the split usually wins because it removes the flip entirely during cocktail hour, which is when the schedule is already tightest.

Arizona conditions matter more than most places. Resin, metal and acrylic chairs handle patios, turf and pool decks without trouble. Upholstered, boucle and velvet do better under cover, because a summer afternoon on open turf is hard on fabric and a monsoon squall is worse.
